Bookem lets you automatically send a form (such as an intake or consent form) to clients when they make their first booking only. This is useful when:
- You need consent for a specific treatment
- You want to collect important information before a client's first appointment for a specific service or with a particular practitioner
Follow these steps to link a sendable form to a service for a client's first booking:
1. Create or edit your sendable form
- Go to Forms and create or update the form you want to send automatically, such as an intake or consent form.
2. Set up a message template
- Go to Settings > Message templates
- Click '+ New Template' or choose an existing reminder to edit
- Edit the message body to include the information you want to send to the client
- To insert the form, type # and select the correct form from the list that appears
- Using variables, type the hashtag (#) to select the form you want to insert
- The form will be inserted as a variable in the message and appear in purple, just like other message variables
3. Set up the automation
- Go to Settings > Automations
- Select an existing automation or click '+New' to create one
- Ensure that the automation is set to send for First booking
- Under 'Message' choose the message template you set up that includes the form link
- Click 'Save automation'
Once saved, Bookem will automatically send your form to clients when they book that service for the first time.
