Turning transcripts into clinical documents with Bookem

Bookem helps clinicians turn recorded sessions - in-person or video call - into structured, professional clinical notes. This guide walks you through the full workflow:

Turn transcriptions into documents

Follow these steps:

1. Record the session

- You can record both in-person consultations and video consultations

Recording an in-person consultation

  • Open the client booking from your Calendar.
  • Click Start recording. (Reminder: Always obtain client consent before recording)
  • A recording panel opens automatically

Recording a video consultation

When you join the video call through Bookem:

  • Click start recording from the video toolbar
  • The same recording panel appears with full controls
  • The recording is linked to the booking automatically, just like an in-person recording

2. Once finished recording, transcribe audio with your chosen language model
- Standard English

- Medical English (optimised for clinical context)

- Multilingual (supports multiple languages, including Afrikaans)

3. Next, choose what to do with your transcript

4. Click 'Generate new document' and select an AI document template from the list

5. A document will be generated with an AI block and prompt, ready to run with the transcript attached.
You may add more context before executing the prompt.

6. Click 'Generate' to create your document.

7. Review the generated content and click Insert to use it in your new document.

Optional: Tick Auto run AI if you want the document to generate automatically.

Leave it off if you want to review or edit the prompt first - for example, to adjust client profile details or attach additional documents/transcripts.

Recording tips for best results

  • Use a quiet room
  • Keep your microphone close and unobstructed
  • Test your audio before starting
  • On mobile: keep the browser tab active to avoid interruptions
