How to send Documents in Bookem

Using Bookem to manage and send documents helps streamline your administrative tasks.

Sending documents are useful for documents such as

  • Referral letters

  • Prescriptions

  • Sick notes

  • Post-consultation programs (eg. meal plans, exercise plans, rehab plans)

  • or any other documents that you might regularly need to email, print or send a link for

It's important to have appropriate templates set up for each of these. Bookem provides basic templates, but you can customise them to suit your needs.

Note: sending a link to a document sends a link to that saved version of the document. Future edits to the document will need to be sent again, using a fresh, automatically generated, link using any of the options below.

How to send a document

Follow these steps:

1. Create a new document

  • Go to the client's profile

  • Navigate to the 'Documents' tab

  • You can open an existing document or create a new one from a template

2. Complete the Document

  • Open an existing document or document template and click Create to save the document

3. Click the arrow icon on the top right of the document

  • Now, click 'Download', 'Send' or 'Copy link'

Clicking "Download"

  • The document will be saved to your computer as a PDF. You can then send or file it as necessary. Note: If you send it from your regular email address, there will be no tracking of this in Bookem.

Clicking "Send"

  • A popup will prompt you to send the link to the client.

    Via email: The default email will be auto populated, but you can enter a different email address if needed. Multiple email addresses can also be entered. The link will open the PDF version of the document.

    Via SMS: The default contact number associated with the patient will be auto populated You can enter a different number if needed. Bookem doesn't support sending documents via SMS to more than one person

Clicking "Copy link"

  • This will copy the link to your device's clipboard. It can be pasted to be shared via WhatsApp, email, SMS, etc.

Important note on shared document links: When sharing a link, you are sharing that saved version of the document. If any changes are made after sharing the link, they will not be reflected - the original saved document will still be shown. You need to send a new link if updates are made that need to be sent. To do that, simply repeat the "send" steps and Bookem will generate a new link automatically.
