How to use Ask AI on Bookem

Ask AI is part of AI Assist in Bookem. It lets you ask questions about your practice, take action on bookings, and generate clinical documents - all from within Bookem. It works across your clinical workflow, so you can get information or complete tasks without leaving the screen you're on.

Where to find Ask AI

AI Assist is available on the client profile and the booking modal. Click the AI stars icon to open it.

How to use Ask AI

AI Assist combines two capabilities in one place:

  • Ask - Ask questions about your practice, clients, and bookings in plain English and get answers drawn directly from your Bookem data. The conversation is interactive, so you can ask follow-ups, refine your question, or request more detail.
  • Agent - Request a task to be actioned in Bookem, such as cancelling or rescheduling a booking.

Ask questions

Type any question in plain English and AI Assist returns an answer drawn from your Bookem data, covering everything from client information to reports and stats.

  • Generate a client summary
  • Check on historic data on a client profile
  • Pull up a summary of recorded notes without scrolling to find it
  • Check booking trends for a specific team member
  • Review recent activity for a specific booking
  • Get a count of cancellations, no-shows, or new clients over a period

Examples of what you can ask:

  • "How many bookings did Sarah have this month?"
  • "What's our busiest day of the week?"
  • "Which clients haven't booked a follow-up?"

Ask follow-up questions

Ask AI allows back-and-forth conversations within a session. If the first response isn't right, simply ask a follow-up—no need to repeat context.

Generate clinical documents

AI Assist can generate a range of administrative and clinical documents, including:

  • Referral letters
  • Consultation notes
  • Sick notes
  • Client summaries
  • Feedback on results

Important: AI Assist produces a draft for your review. Check the content carefully before sending.

Send messages via email or SMS

After a consultation, use AI Assist to draft a message for your client or third party.

AI Assist will open the messages tab and draft the message there, drawing on the context you provided. Review and edit the message before sending.

Craft your own prompts

AI Assist lets you run prompts by typing them directly in plain English or by selecting a saved prompt.

Create and save your own prompts:

1. Go to Settings > Prompts

2. Select '+New prompt'

3. Add a prompt label and instructions

4. Next, verify that usage tags are correctly set for their intended purpose, ensuring availability in documents and AI Assist

5. Set up required context, if necessary

Tip: You can improve the quality and relevance of outputs by adding usage tags and required context to your prompts. Usage tags tell AI Assist when a prompt should appear, and required context specifies what information to include.
